The privacy policy is continually updated to ensure that Timothy Older Photography is in line with the latest rules and regulations for privacy and data protection. Timothy Older Photography complies with the Data Protection Bill 2018, and EU General Data Protection Regulation. How we (“Timothy Older Photography”) use your data, where and how it stored, and for how long is all contained within our general privacy policy online. Timothy Older Photography cannot be held responsible for privacy issues that occur as a result of customer negligence – an example of this, but not limited to, is a customer losing their USB device with your personal files and data contained on. The device will be sent recorded to ensure delivery to the customers’ address – losses after the signing of delivery are the customers’ responsibility. It would be their responsibility to inform their guests of any such data loss.

Customers which submit a print order – their details are passed to the supplier for delivery purposes only. Our two print suppliers are both based within the EU and therefore keep all customer data in the same secure way as Timothy Older Photography; all in line with the EU GDPR. The two suppliers will only keep your data for as long as necessarily needed. Your print/images data is not retrievable from the suppliers, and is only used by the supplier for the printing purposes of your order.

How we use this data
Collecting this data helps us understand what you are looking from the company, enabling us to deliver improved products and services.
Specifically, we may use data:

How long are details stored for?
Customer details are stored with Timothy Older Photography for 84 months for the purposes above only.
After 84 months all personal details are deleted from backups, online servers, and offline systems. This is personal details, and not necessarily your photographs. Your photographs will be stored within the local hard drives, online with Amazon cloud storage, and in a separate local network attached storage device (this device is not accessible via the outside network). Your photographs will be stored at all 3 of those locations for the minimum of your contract period. As per your signed contract, they may then continue to be used and stored beyond that date; for marketing purposes etc. Photographs are not run through facial recognition software, and no personal details will be attained to the photographs. Therefore, if at a later date you require your personal details to be removed from Timothy Older Photography, photographs will remain; as no personal details are stored within, and Timothy Older Photography remains copyright holder.
Customers can request to be removed from marketing at any time, and can request deletion of all data prior to the limit above. Customers can also request all details contained about them.

Where are my details stored?

Your login details are stored within the UK data centre that holds this websites data. Being a UK data centre, all data contained is secured to the minimum UK Data Protection Act and EU GDPR specifications. Customers who receive, or book to receive, work from Timothy Older Photography also have their details stored;
*On a password protected Access database (for promotional purposes, and personal records)
*Within QuickFile Accounting Software (for UK tax/NI/Accounting purposes)
*Filed and Signed Paperwork (contracts, for example)
*Password Protected PC Hard Drive (for the photo’s)
*Password Protected Network Hard Drive (non-internet connected network drive, for the photo’s)
*Password Protected Amazon Drive Cloud Storage (for the photo’s)

All personal information is kept for 7 years for accounting purposes – all information can be requested to be removed – and please get in contact with us, should you wish to. (tim@timsphotography.co.uk / 01474 887 140). Some personal information cannot be deleted, this is because of accounting purposes. Photographs are kept for a minimum of 3 years, but can be kept indefinitely, as per our contractual agreement.

What if there is a data breach?

Your personal data will be kept with security at the highest priority. Security patches will be installed on all systems, and the websites, as soon as they become available to try and keep data protected the best it can be. If we become aware of any data risk; small or large; you will be contacted with details of the breach as soon as we are aware.
